Calendar Event Creator

The VXP calendar event creator creates links and a .ics file for attendees to quickly add an event to their personal calendar without manually entering details. Make it easy for your attendees to add your event to their calendar with one click. Calendar events supports multiple platforms:

  • A direct link for Google Calendar

  • A direct link for Microsoft Calendar

  • An .ics file for Outlook, or other calendar apps that accept iCalendar files

How To Create

  • Note: no data is stored, and when you leave this page the calendar event is no longer available. Be sure to download or copy/paste the 3 calendar event items to your computer.
  • Add event information to each input field
  • Copy the Google Calendar code and the Microsoft Online Calendar code and paste into a document for your reference (e.g. an email you will send yourself)
  • Download the Outlook .ics file (and attached it to your reference email)

Calendar Event Creator Fields

  • Event Title – Short, descriptive name.
  • Event Location – Full address (auto-converts to map link).
  • Time Zone – Ensure the correct zone for accurate display.
  • Start / End Date & Time – Confirm AM/PM and multi-day events.
  • Event Description – Key details like agenda, RSVP info, or highlights.

Tips

  • Time zone is based on where the event will be. Individual calendars will automatically update to that persons local time zone.
  • Text the calendar links before sending! Add the copied info to a generic Google Calendar. Add the copied Microsoft Online event to a Microsoft Online calendar. Double-click the .ics file to add it to your Microsoft Desktop Outlook calendar.
  • The Calendar Event is not saved. When you leave this webpage, the event is removed from the VXP system. Create updated version any time by entering information again.

Common Mistakes

  • Wrong or missing time zone → attendees see incorrect times.
  • Incomplete address → map link may fail.
  • Overly long titles → may get cut off in some calendars.
  • Default or outdated dates/times left unchanged.
  • Not testing .ics file compatibility with Outlook or Apple Calendar.

How To Provide a Calendar Event to Attendees

  • Copy the 2 online calendar links into an email or webpage.
  • Add a simple how-to statement
    • To add event to your calendar click the Microsoft Online Calendar link or the Google Calendar link.
    • (email) For Microsoft Outlook desktop app, save the attached .ics file and double-click to open and show the calendar event. Then save to add to your calendar.
    • (webpage) For Microsoft Outlook desktop and Apple Calendar, click to download and then double-click to open, show calendar event, and save to add to your calendar.
  • Update the URL into user friendly text
    • “Microsoft Online Calendar”
    • “Google Calendar”
  • Update the .ics file name
    • “Desktop Calendar.ics (Outlook, Apple, etc.)”
